There is no such thing as perfection so finding the perfectness in any person, or situation is not possible. Project Management is also full of uncertain events.

Project managers use many frameworks, practices, and processes throughout their careers. They employ frameworks within their teams to find out what specifically works. It is clear that “one size doesn’t fit all”.

Project managers should design the process for specific team applications. Culture and mentality play significant roles that are unlikely to work equally for all the team. Project managers should keep on testing various practices until they reach a sweet spot.

Flag Risks Early

A project manager has to form a systematic approach to removing obstacles so team members can tackle all the project tasks well. Managers must address blockers otherwise some items could end up being marked as blocked in the backlog. There is a tendency to remove blockers from the most important tasks, this potentially leads to disaster, as a significant number of mutually dependent tasks could be blocked.

From Setbacks to Small Wins

The project manager shouldn’t get angry with the team for missing the deadline as again and again, it’s inevitable. Such time demands motivation boosters. Don’t blame, rise up and behave sort of a leader; if required, take the blame and motivate the team to overcome it and deliver the functionality. schedule a review to understand what went wrong and the way your team can work better in the future to stop setbacks from happening again.

Equally important is to celebrate small wins together. Schedule a brief meeting to praise the team, after you deliver results within the approved timeline. Cumulative small wins result in overall project success.

The right selection of tools makes the difference so the proper software tools may be a success factor for project management. It’s the smartest thing for the project manager to induce discussions about what specific tools the team should work on. Such discussions are either time-wasting or productive, looking at an understanding of what the team wants to attain with a selected tool. There are some factors to be considered for deciding the most appropriate tools:

  • The size of the team
  • Team composition
  • Project methodology or framework
  • How much detail the report should include

For smaller teams, especially if they’re at the start of a project, the team can use Microsoft Project. This tool has most of the features needed with the Kanban framework. For medium-sized projects with dozens of individuals, higher-level modules could also be considered. It has decent project management features, including a particular degree of reporting. If the project involves quite 20 people and detailed levels of reporting, Jira or another project management tool is considered. It integrates well with a bunch of other solutions available within the market, with great customization. Clubhouse application or project management tool used for small to medium-sized projects that have found a good set of functionalities.

Document Meetings:

Documentation is the foremost important aspect for each project manager. As per the study, meeting requirements is underestimated so we’ve to spend many hours on wasteful meetings. Preparation is the key to each successful meeting, and it takes roughly five minutes:

  • Create the agenda and judge the desired participants. Confirm that each participant is invited.
  • Send the agenda to participants and confer with them about the rest that should be discussed.
  • If you’ve got a virtual meeting, check if the link was sent.
